How do I set up Mailchimp to Salesforce Mappings?

Each audience has its own Mappings. In the direction of Mailchimp to Salesforce (first tab) there are several sections. Below is a summary of those sections. Please click the included links to learn more. Visit Mappings for a guided walkthrough of basic features.

 

  1. Matching Rules. These define how the primary sync finds records in Salesforce to relate Audience members to.  
  2. Creation Rules: These define if we create a Salesforce record when one that matches the rules in #1 can't be found. You can define
    1. Which record to create (lead, contact, person account)
    2. For contacts, how to handle the account and its name
    3. Contact record type, if you use them.
    4. Filter criteria for which Mailchimp members should be considered for record creation. 
    5. Account record type, if you use them. 
  3. Mappings: There are multiple columns in this section, one per "person" object you have access to (lead, contact, person accounts). Here you define:
    1. Any fields you want to update with data from Mailchimp every time the primary sync runs.
    2. If you are creating a record in #2, there will be some some extra features:
      • Create Only toggle. Enable it for each field where the mapping should only be used when creating a record of that value. If left disabled, we will map the Mailchimp value to new and existing records for that object. The other object(s) use their own mappings, and the toggle doesn't affect them. 
      • Default Values: You can set defaults like lead source on every record you create. We won't use defaults to update anyone.
    3. Preview Mappings button: Let you use an email from Mailchimp to confim there are no validation errors in your mappings.
    4. Retrospectively Apply button: This will catch mappings with existing members in Mailchimp if you have recently changed any mappings. Otherwise, the mappings only apply moving forward.

EXAMPLE:  

You have set up Mappings to Create a Lead (no account needed) and mapped first and last names and email. 

LEADS: 

  • Since Create a Lead is enabled in this scenario, New leads will use the mappings and creation settings to make records, including first and last, default values.
  • If you don't enable the CREATE ONLY toggle next to each mapped field, we will also use that mappings to update any existing leads we find, every time. There isn't any logic comparing the values or last modified (Mailchimp doesn't track field changes).

CONTACTS:

  • If you map any fields in that direction, we will update existing contacts with those values from CM every time. There isn't any logic comparing the values or last modified (Mailchimp doesn't track field changes).
  • If you don't map any fields for contact, we never update contacts in SF with any MC data.
