Which Dropbox permission set should I assign to my users?
The package includes two permission sets, Dropbox Standard and Dropbox Admin. Every user who works with the integration needs one of them, whatever their profile. Without a permission set, the Dropbox File Manager will not load for that user.
Dropbox Standard is the right choice for everyday users. It lets a user connect their own Dropbox account, browse, upload, download, preview, share and delete files in record folders, create subfolders, rename a record's folder, request access to a folder they cannot see, use the Dropbox actions in Flow, and switch between workspaces if the org has more than one.
Dropbox Admin includes everything in Standard and adds the administrative surface: Manage Workspaces, Account Details showing your subscription tier and connected users, access to the billing portal, the ability to disconnect another user's Dropbox connection, and visibility of every folder mapping and workspace record in the org.
When the package is first installed, the installing user and active users on the System Administrator profile are assigned Dropbox Admin automatically. Everyone else needs assigning manually, from Setup, the user record, or a permission set group.
In practice, most orgs only need a handful of Dropbox Admin assignments. Standard covers all day-to-day file work.
Note: A permission set controls what a user can do in Salesforce. It does not control which files they can see. Dropbox decides that, based on folder ownership and sharing.
