Why is the McMemberBatch hourly sync failing with an Apex heap size too large error?

The hourly sync runs a background batch job called McMemberBatch, which updates and inserts your Mailchimp member records in Salesforce. When this job hits Salesforce's memory limit, it logs an Apex heap size error. No data is lost — the sync will recover on the next hourly run — but if the error is happening consistently, there are a few things to check.

The Solution

You can adjust how many records we process per execution. Fewer records means less memory used — the sync will run a little slower but for most users this won't be noticeable. Set the value to half your current setting to start.

Go to the Mailchimp Settings tab.
Select Maintenance from the menu.
Click on Settings from the dropdown next to Reports.
Locate the 'Members to sync per execution' setting.
Reduce the value to half its current amount and save.

If the error persists, reduce it further. If you reach 1 and are still seeing errors, you should probably check other custom code, flows, or processes that are running outside of our product.

Why did I receive an Apex exception email about McMemberBatch and "No response from Mailchimp"?

Getting an Apex exception email from Salesforce can be alarming, especially when it references a batch job you didn't manually trigger. If you've seen an error mentioning mone.McMemberBatch and the message "No response from Mailchimp," the good news is this is almost always caused by a temporary Mailchimp outage and not a problem with your MC4SF installation.

The McMemberBatch job is responsible for pulling member data from Mailchimp into Salesforce. When Mailchimp is temporarily unreachable, the job retries several times before giving up, and Salesforce sends an exception email to the org admin to let you know the batch didn't complete. This is standard Salesforce platform behaviour for failed batch jobs.

The Solution

When you receive this error, it means Mailchimp was temporarily unavailable at the time the batch ran. The integration will automatically catch up on the next scheduled execution, so in most cases no action is needed.

If you're concerned that some member data may have been missed during the outage, you can trigger a manual sync to bring everything up to date:

Open the Mailchimp for Salesforce app in Salesforce
Navigate to the Mailchimp Settings tab
Run a full sync for the relevant audience

If the error continues to appear outside of a known Mailchimp outage period, please contact Beaufort 12 support as there may be a connectivity issue with your integration.

Why are records being held.

Our integrations make use of Apex jobs, so if you are seeing delays in either direction, there is a chance the job has not been completed or is held.

Salesforce Apex Jobs are background operations (like scheduled Apex, batch processes, or queued Apex) that run asynchronously on the platform. Instead of executing immediately as soon as you trigger them, these jobs are placed into a queue. Salesforce’s system will then process each job when resources become available to handle it. This design ensures that no single job overwhelms the shared resources of the Salesforce cloud. In most cases, jobs start very quickly after being queued, so you might not notice any delay at all. However, there are times when Apex jobs can be delayed in processing.

If you are seeing an Apex Job holding for a very long time, this is typically a Salesforce platform issue. The only real solution is to contact Salesforce and let them know how the Apex Jobs are holding. They will then be able to advise further.

How can I purge data from Mailchimp?

If you need to remove Mailchimp data from Salesforce, this does not affect your Salesforce standard data like contacts or leads we have a purge option. What is a 500 error?

It is rare, but you may receive the following error: "Internal Server Error","status":500,"detail":"A deep, internal error has occurred during the processing of your request. Please contact support."

This is an error from Mailchimp's servers. Our integration will restart the sync it was performing during the outage, so you usually do not need to do anything.

How should I test?

We offer free trials in production and sandboxes to allow you to test our product or specific customisations in your org. Please take advantage of these to ensure our features meet your needs. If our support guides or FAQs don't answer your questions, we are available via our support form.

Salesforce recommends you use a sandbox to test any new feature, and we agree. When working with a Salesforce sandbox, it’s crucial to handle your data with extra caution. We strongly advise against connecting your actual Mailchimp account unless your testing requires live data. Even in such cases, proceed with caution.

If you must test with your actual Mailchimp account, please note that upon installing our product and connecting for the first time, we will copy your Mailchimp data into Salesforce. This data will be stored in our custom objects.

Why can't I add or remove Mailchimp components to my page layouts?

Our automated process to set up or remove components from your page layouts may not work. Typically this is because:

1. Permissions
2. Lightning Page Activation
3. Other components have been added or conflict.

If you want to set up the page yourself, you can use the steps in our interactive demo. To remove the component, you just need to do the reverse.

Can I be notified when there is a new system message?

We offer a notification service in the app. It will send many of the notices you see in Maintenance logs, especially those that the sync can't recover from itself without user input, like sync failures or apex errrors..

Open the Mailchimp Settings tab and then the Maintenance page. Click the drop down in the upper right and then the cog icon. This will open Maintenance Settings, where you can set an email address to receive system notifications.

Note: You may also want to ensure you are received standard Salesforce Apex Exception Emails and Flow and Process Error Recipients, as any errors from your custom automation (flows, code) may go there instead.
