How do I reduce the amount of storage being used by email tracking history?
Like any app that creates records, Campaign Monitor for Salesforce uses some of your record storage capacity. Each Salesforce record takes approximately 2KB, so if you have 10,000 email tracking history records, this will take up approximately 20MB of space.
By default, the last 180 days of email tracking history are stored. You can tune this number, increasing or decreasing storage usage. It is worth noting your data is safe in Campaign Monitor we just take a copy.
To change how much storage is taken up by email tracking history, visit the sync settings on the CM Settings tab.
In the email tracking history section, you can choose:
- What types of email tracking to store (sent, open, click, etc)
- How far back to sync tracking data
- Disabling all local storage by changing the Days to Keep to zero.
Stop storing activity locally
If you do stop all email tracking history you can use our Lightning components on page layouts. Components will surface email tracking history straight from Campaign Monitor instead, without using storage. To learn more click here.
Data cleanup
When you reduce your Days to Keep, we will clean up unneeded activity records on the next run of the primary sync, whether by schedule or by clicking Sync Now on the same page.
When you increase your Days to Keep, you must run a Full Campaign Monitor Sync or the Refresh Activity History to import the earlier activity. Both of these are available in the pull-down menu on Sync Now button.
