How to Sync Campaign Monitor Subscribers to Salesforce: Complete Setup Guide
Keeping Campaign Monitor subscribers synchronised with Salesforce contacts and leads eliminates the manual work of maintaining two separate databases. When your email platform and CRM talk to each other, marketing teams can segment audiences using Salesforce data whilst sales teams see exactly which prospects engage with email campaigns. This guide walks through the complete setup process for Campaign Monitor for Salesforce, from initial installation to troubleshooting common sync issues.
What Is Campaign Monitor for Salesforce?
Campaign Monitor for Salesforce is the official integration built by Beaufort 12 in partnership with Campaign Monitor, a Marigold brand. Announced in April 2021, this partnership brought enterprise-grade email marketing directly into Salesforce through a managed package available exclusively on the Salesforce AppExchange.
The integration synchronises subscriber lists, campaign data, and engagement metrics between both platforms. Contact information flows from Salesforce to Campaign Monitor lists, whilst email tracking data (opens, clicks, bounces, unsubscribes) syncs back to Salesforce records. Campaign Monitor campaigns appear as Salesforce objects, making email performance visible in standard reports and dashboards.
This is the official solution for organisations using both platforms. Rather than exporting CSV files or manually updating records across systems, the integration handles bidirectional data flow automatically.
Before You Begin: Prerequisites for Campaign Monitor Salesforce Sync
You'll need administrative access in both systems to complete the setup. In Salesforce, your user profile requires System Administrator permissions or equivalent rights to install AppExchange packages and modify Setup configuration. The user account that connects to Campaign Monitor must have the "Marketing User" checkbox enabled in Salesforce (we'll cover this during setup).
On the Campaign Monitor side, you need admin-level access to authorise the OAuth connection and API permissions to allow data exchange. Standard Campaign Monitor user accounts won't have sufficient privileges.
Before beginning, back up your existing Salesforce data using Data Export or a third-party backup tool. Whilst the integration is designed to create and update records safely, having a restore point provides peace of mind during initial configuration. Check that your Salesforce edition supports managed packages (Professional, Enterprise, Unlimited, and Developer editions all work).
Step 1: Install Campaign Monitor for Salesforce from AppExchange
Navigate to the Campaign Monitor for Salesforce AppExchange listing and click "Get It Now". Salesforce will prompt you to log in if you're not already authenticated, then ask whether to install for admins only or all users.
Installing for admins only restricts access to System Administrators during initial setup. This approach lets you configure everything before rolling out to your team. You can grant broader access later through Salesforce permission sets.
The installation wizard displays required permissions the package needs (API access, custom object creation, and so on). Review these, then approve and continue. Salesforce installs the managed package components into your org. This process typically completes within five to ten minutes, though it can take longer if Salesforce's installation queue is busy. You'll receive an email confirmation when installation finishes.
Step 2: Connect Your Campaign Monitor Account
After installation, navigate to Salesforce Setup and locate the Campaign Monitor app in the App Launcher. Open the Campaign Monitor Settings tab. You'll see a connection status showing "Not Connected".
Click the "Connect to Campaign Monitor" button. This initiates OAuth authentication, redirecting you to Campaign Monitor's login page. Sign in with your Campaign Monitor admin credentials. Campaign Monitor displays the permissions being requested: read subscriber lists, access campaign data, and update custom fields.
Authorise the connection. Campaign Monitor redirects you back to Salesforce, and the connection status updates to "Connected" with your Campaign Monitor account name displayed. If authentication fails, common causes include incorrect login credentials, insufficient Campaign Monitor permissions, or browser cookie restrictions blocking the OAuth flow. Try authenticating in an incognito window or different browser if you encounter errors.
Step 3: Configure Sync Direction and Object Mapping
Campaign Monitor for Salesforce supports bidirectional sync, meaning data can flow from Salesforce to Campaign Monitor, from Campaign Monitor to Salesforce, or both directions simultaneously. The direction you choose depends on which system holds the source of truth for specific data points.
The integration syncs Salesforce contacts and leads with Campaign Monitor subscriber lists. Each Campaign Monitor list maps to Salesforce records through subscriber list settings. You configure this per list, allowing different sync behaviours for different audiences.
In the Subscriber Lists tab, select a list and navigate to the sync settings. Choose whether to create Salesforce records (contacts or leads) when new subscribers are added to Campaign Monitor, or keep sync one-way from Salesforce to Campaign Monitor only. Bidirectional sync works well when both teams actively manage their respective systems. One-way sync from Salesforce to Campaign Monitor suits organisations where sales owns the database and marketing runs campaigns.
The primary sync runs hourly by default, checking for new subscribers, updated fields, and campaign activity. You can trigger manual syncs immediately from the Subscriber Lists tab if you need to synchronise data outside the scheduled window. Real-time sync isn't available, but hourly updates keep both systems reasonably current for most use cases.
Step 4: Map Fields Between Campaign Monitor and Salesforce
Standard fields like email address, first name, and last name map automatically. The integration matches records using email address as the unique identifier. Custom field mappings require configuration to sync additional data points beyond these defaults.
Navigate to the Subscriber Lists tab, select your list, and click "Field Mappings". Click "Edit" to unlock the page. If you've already created custom fields in Campaign Monitor, they appear here. To create new mappings, click "New Campaign Monitor Field".
Choose whether to map from a contact field or lead field, then select the Salesforce field from the picklist. By default, the direction is set to Salesforce to Campaign Monitor. The integration creates a Campaign Monitor custom field with the same name and data type automatically.
Common custom field scenarios include mapping industry categories, company size, product preferences, or lead scores. For example, mapping a Salesforce "Industry" picklist to a Campaign Monitor custom field lets you segment email campaigns by industry without maintaining separate subscriber lists. (Honestly, this is the part most guides skip: which fields actually matter to map.) You can map the same Salesforce field to multiple subscriber lists by using the "Apply field mapping to other Subscriber Lists" option.
Field mapping direction can be set per field. Salesforce to Campaign Monitor updates subscriber data when Salesforce records change. Campaign Monitor to Salesforce updates Salesforce records based on subscriber data (useful if you collect additional information through Campaign Monitor signup forms).
Step 5: Set Up Campaign and Engagement Tracking
Campaign activity tracking brings Campaign Monitor email performance data into Salesforce. When enabled, the integration creates Campaign Monitor campaign records in Salesforce showing email template details, send statistics, and geographic engagement data.
Navigate to Campaign Monitor Settings and locate the General Settings section. Enable "Auto-create Salesforce Campaigns" if you want the integration to automatically create Salesforce campaign records when Campaign Monitor campaigns are sent. This setting requires your sync user to have the "Marketing User" checkbox enabled (the integration attempts to enable this automatically if it's not already set).
Once enabled, each sent Campaign Monitor campaign appears in the CM Campaigns tab. Click into a campaign record to see email template HTML, text versions, campaign snapshots with delivery statistics, and email activity tracking showing who opened, clicked, or bounced.
Email tracking data updates hourly during the primary sync. Opens, clicks, bounces, and unsubscribes appear on the Email Activity tab of each campaign record. If you've linked a Salesforce campaign to the Campaign Monitor campaign, the integration can also update Salesforce campaign member statuses based on engagement (for example, setting status to "Opened" when someone opens the email).
Link tracking and UTM parameters are configured within Campaign Monitor itself. When creating campaigns, add UTM tags to links for attribution tracking in Salesforce reports. The integration doesn't modify link tracking, but it surfaces the engagement data Campaign Monitor captures.
Troubleshooting Common Campaign Monitor Salesforce Sync Issues
Duplicate contacts sometimes appear when the integration can't match existing records. This happens if email addresses don't match exactly (trailing spaces, case differences, or typos prevent matching). Review your Salesforce duplicate rules and matching rules to prevent duplicates. The integration uses exact email matching, so ensure email addresses are clean in both systems.
Field mapping conflicts occur when data types don't align. Campaign Monitor text fields can't map to Salesforce picklist fields directly. If you encounter mapping errors, check that the Salesforce field type matches the Campaign Monitor custom field type. Date fields must map to date fields, text to text, and so on.
Sync delays or stalled synchronisation typically relate to API limits or large data volumes. Salesforce imposes API call limits per 24-hour period. If your org has heavy API usage from other integrations, you might hit these limits. Check API usage in Setup under System Overview. The integration queues failed records for retry, but persistent failures need investigation.
Authentication can expire if Campaign Monitor credentials change or OAuth tokens are revoked. If the connection status shows "Disconnected", return to Campaign Monitor Settings and reconnect. This refreshes the OAuth token and restores sync functionality.
Permission errors appear when the sync user lacks required Salesforce permissions. Ensure the user running the sync has read/write access to contacts, leads, campaigns, and any custom objects you've configured. The "Marketing User" checkbox must be enabled for Salesforce campaign integration to work.
Access sync logs from the Campaign Monitor Settings tab under the Sync History section. This shows recent sync runs, records processed, and any errors encountered. Error messages typically indicate which records failed and why (missing required fields, permission issues, and the like).
Campaign Monitor vs Other Salesforce Email Integrations
Campaign Monitor distinguishes itself through deliverability infrastructure and detailed analytics. Dedicated IP addresses for higher-volume senders, advanced spam testing, and inbox preview tools make it suitable for organisations where email reliability matters. The platform supports pixel-perfect email designs and responsive templates, appealing to teams with strong brand standards.
Mailchimp for Salesforce offers broader feature breadth with multi-channel marketing and built-in landing pages. Emma for Salesforce targets higher education and non-profit sectors with specific compliance features. Teams focused purely on email marketing with sophisticated design requirements often prefer Campaign Monitor's streamlined approach.
All three integrations are built by Beaufort 12 using the same underlying architecture, so you can expect consistent quality and support regardless of which email platform you choose.
